From first enquiry to final payment

One booking, never retyped. Each stage is the real app at work — tap a step for the detail.

Stage 1

The customer says yes

An enquiry becomes a priced quote from your own menu. The customer opens it on a phone, reads your terms and approves by name.

Public enquiry intake Set up with you

An enquiry form at your own web address, to link from your website. Date, headcount and what they want arrive structured, so the quote starts filled in instead of retyped. Off until you switch it on.

Estimate

The enquiry becomes a priced quote the customer opens from a private link and approves or declines.

Packages and add-ons

Your menus, priced per head or flat, with extras sold alongside. Your names and your numbers.

Guest count

The number moves. You decide how many days out it locks and whether it may still rise afterwards.

Capacity approval Set up with you

How many events or guests you will take on a date. When you switch it on, approval is refused once the day is full.

You get paid in full

Deposits and instalments on your dates, every payment in one ledger, and a linked invoice when the count goes up.

A draft invoice re-syncs. A sent one is never rewritten — an increase becomes a linked supplementary invoice.

Works out what your own cancellation terms say is owed and records it. Nothing goes back to the customer until an admin confirms the refund plan.

Activity history

Append-only. What was done and by whom, and nobody can quietly edit it later.

Expense receipt capture and accountant-ready tax classification are available. StackViro does not add sales tax to catering quotes or invoices yet, and it does not give tax advice or file returns.

What every workspace comes with

How much does it cost?

Catering: a monthly fee for the software, plus a one-time fee to set it up around your business. Pay yearly and the monthly fee is 15% lower; setup stays the same.

Founding-customer pricing. The prices are confirmed in writing when we set up your workspace, before you commit.

A setup fee of $1,490 or more can be paid in milestones: 50% to begin, 25% after the configuration review and 25% before launch. No interest and no finance charge. Work can pause while a milestone is unpaid. The complete schedule is set out in your written agreement, which is reviewed by counsel before it is used.

Where a service runs on a StackViro-managed provider account, you pay StackViro the amount in your written quote, and any markup or administration charge is shown there. Where it is technically possible, you can use your own supported provider account instead.

Who can see what you put in

Separation between companies — enforced in the application

Each customer gets its own workspace. Records that belong to a workspace are stamped with it, and the application scopes those queries to the current workspace by default rather than leaving each screen to remember. Another catering company on StackViro cannot read your events, and neither can a trucking or service company. Tests fail if that scoping is removed.

Roles — enforced on the server

Access inside your company is by role, and the checks run on the server, so a modified page or a copied API call does not get around them. You decide who is an owner, who is office staff and who is crew.

Encrypted on the way, and the sensitive parts in storage

This page and the application are served over HTTPS — your browser’s padlock shows it. Your card-processor keys, tax numbers, saved drawn-signature images and connected-service logins are encrypted by the application before they are stored, and passwords are kept only as one-way hashes that cannot be turned back into the password.

Support access — you approve it

When you need our help, you choose who looks, why, and for how long: one named StackViro person, the kinds of record you tick, a time limit you set, starting only after they sign in with two-factor. Support works in a separate view where your records are hidden — names as initials, amounts as dots — and each real value they ask to see is listed for you.

Settings → Support access lists the visits to your workspace: who, when and why. The same page shows whether your approval is in force yet; we will tell you the day it starts.

Other companies that touch it

Running the service means other providers process some of your data on our behalf: hosting and backups, email delivery, file storage, and error and uptime monitoring. Optional features — text messages, card payments, maps, AI document reading — involve their provider only if you switch them on. We do not sell your data, and we will give you the current list of providers whenever you ask.

How long we keep your answers to the questions below

Until you ask us to remove them. When you ask, we remove the answers, your company name and your contact details from the live system, and we keep the reference and the date, so we can always tell you what we held.

Our backups still contain what was in the system when they were taken; we do not currently reach into them to erase single records, and they age out on their retention schedule. If your contract needs backup erasure on request, tell us before you sign.
