From Small fleet

Service reminders by miles or date

Oil changes and inspections come due by the truck’s miles or the calendar, with what each service cost.

Step by step

  1. Open Maintenance and go to Add a rule.
  2. Choose the Truck, or leave The whole fleet. Type the Job (for example Oil & filter) and set Every N miles, Or every N days, or both. You can also set Warn N miles before and Warn N days before. Press Add rule.
  3. Open a truck by its number in Needs attention. Under Record the odometer, enter Miles and press Record reading. Drivers can also send it from their load under Odometer.
  4. When the work is done, use Record a service on the truck page: pick the Job, the Date and What was done, then press Record service. The clock for that job starts again.
  5. Needs attention lists what is Overdue, Due soon, Never done or Cannot tell.

A lower odometer reading is refused unless you say why in If it went backwards, why. Nothing is deleted: a correction voids the entry and leaves it in History. Also record as cost books a service’s cost into your numbers.

Worth knowing

  • Keep odometer readings current, or a miles reminder cannot know it is due.
  1. Maintenance shows which truck needs service next, by miles or by date.
  2. A rule is set once per truck, for example an oil change every 25,000 miles.
